Job Purpose

The Senior Property Manager is responsible for the daily management of the Property Management staff to their assigned portfolio and to oversee a significant portfolio of properties in size.  The Senior Property Manager is involved in all aspects of day-to-day operations of the property, including accounting oversight, tenant relations, maintenance and repair functions, security, janitorial services, landscaping, snow removal, etc. The Senior Property Manager works alongside the property management staff assigned to the properties to handle tenant complaints, service requests and must be familiar with the terms of tenant leases. The Senior Property Manager assists in the preparation of the annual budget, reporting and financial performance of the property and to serve as a point person to senior management.

Duties & Responsibilities

Property Management Responsibilities

  • Direct, coordinate, and exercise functional responsibility for property management business tasks.
  • Assist the Vice President of Commercial Operations with overall property management leadership through the development and interpretation of policies and programs, coordination of information flow and property management strategies.
  • Provide direction, mentorship, training and leadership to Property Management staff, promoting reasonable career paths and growth associated with property management professionals.
  • Track budget variances and ensure smooth recovery process.
  • Manage the tenant billing process for assigned properties for all additional services outside of the lease structure.
  • Monitor monthly cash flow projections and cash requirements based on the approved operating budget ensure efficient use of cash.
  • Oversee preparation of reports, annual budgeting, and other documents for senior management in accordance with company policies.
  • Support property accounting staff with prompt collection of management fees and reimbursements as necessary.
  • Maintain interface with third-party owners, ensuring total contract compliance, and accurate and timely reporting.
  • Perform regular property inspections with staff.
  • Oversee construction projects with Construction Manager, including approving construction related invoices.
  • Ensure compliance with Property Management Policies and Procedures, codes, regulations, and governmental agency directives.
  • Be a resource to the Property Management staff in helping steer decision making, planning and prioritization of projects related to the ongoing operations of the portfolio.
  • Other duties as assigned.

Qualifications

  • Must have excellent time management skills and ability to work independently.
  • Must be detail oriented and be accurate in composing and proofing materials.

  • Must have strong leadership and decision-making skills.
  • Must be able to interact and communicate with individuals at all levels of the organization.
  • Must be computer literate with prior experience in Microsoft Office (Word, Excel, and PowerPoint).

 

Education

  • High school diploma required.
  • Bachelor’s degree in Business Administration or a related field is preferred.

 

Experience

  • Minimum of 5+ years’ experience as a Commercial Property Manager are required.
  • CPM, RPA, or CSM designation is preferred.
  • Possess active real estate license.
  • Strong knowledge of finance and building operations is required.
  • Proven experience in management, evaluation, development, and motivation of subordinates.
  • Ability to effectively manage a team of professionals, including both employees and vendors.
  • Previous experience in analyzing commercial lease and/or contract language.
  • Advanced knowledge of Microsoft Office Suite

Physical Requirements

  • While performing the duties of this job, the employee may need to travel from floor to floor, climb stairs, and may be required to travel outside between buildings in varying outdoor weather conditions.
  • Requires sitting, standing, and walking.
  • Requires frequent operation of office equipment; such as a computer, copy machine, telephone, etc.
  • Occasional stretching and / or bending to access file cabinets, office equipment, etc.
  • Frequent lifting, carrying, pushing, and/or pulling of objects weighing up to 50 lbs.
